1. Who we are
SSA Network Limited ("SSA Network", "we", "us") is a company registered in England and Wales (Company No. 14797523) with its registered office at 124 City Road, London EC1V 1JH. We are the data controller for personal data collected through this website (ssanetwork.co.uk) and in the course of providing our IT, software, cloud and AI services. You can contact us about data protection at support@ssanetwork.co.uk or by post at the address above, marked "Data Protection".
This notice is issued under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We are registered with the Information Commissioner's Office (ICO) as required.
2. The data we collect
- Identity and contact data — name, job title, company, email address, telephone number and postal address.
- Enquiry and project data — the content of messages you send us via our contact form, support ticket form, placement application form, email or telephone, and information you provide about your systems or project requirements.
- Account and service data — where you are a client, details held in our client portal and CRM: contracts, tickets, invoices, service history and the business contacts we deal with.
- Applicant data — for placement applications: CV or portfolio links, experience and anything else you choose to tell us.
- Technical data — IP address, browser type and version, device, operating system, referring site, pages visited and timestamps, collected through server logs and (where enabled and consented to) analytics cookies.
- Marketing preferences — whether you have opted in to receive updates from us.
We do not intentionally collect special category data (such as health or ethnicity) through this website. Please do not include it in messages to us.
3. How we collect it
Directly from you when you complete a form, email or call us, sign a contract, raise a support ticket or apply for a placement; automatically through server logs and cookies when you browse the site; and from third parties such as your employer (where you are a business contact), publicly available sources (e.g. Companies House, LinkedIn) and our service providers.
4. Why we use it and our lawful bases
| Purpose | Lawful basis (UK GDPR Art. 6) |
|---|---|
| Responding to enquiries and quotations | Legitimate interests (running our business); steps prior to entering a contract |
| Delivering services, support tickets, client portal, invoicing | Performance of a contract |
| Processing placement applications | Steps prior to entering a contract; legitimate interests |
| Sending marketing updates you have opted in to | Consent — withdraw at any time via the unsubscribe link or by emailing us |
| Website security, fraud prevention, server logs | Legitimate interests (keeping our systems secure) |
| Website analytics (if enabled) | Consent, via the cookie banner |
| Complying with legal obligations (tax, accounting, regulatory requests) | Legal obligation |
Where we rely on legitimate interests we have balanced them against your rights and interests; you can ask us for details of that assessment. We do not use your personal data for automated decision-making that produces legal or similarly significant effects on you. Where our AI-automation services process data on behalf of a client, we act as a processor under that client's instructions and their privacy notice applies.
5. Who we share it with
- Service providers acting as our processors: web hosting, email, CRM and helpdesk platforms (including our client portal at portal.ssanetwork.co.uk and internal CRM), cloud infrastructure providers, accounting software and, if enabled, analytics providers. All are bound by written contracts under UK GDPR Art. 28.
- Our group companies and delivery teams in the locations listed on our website, where needed to deliver your service.
- Professional advisers — accountants, auditors, insurers and lawyers.
- Authorities — HMRC, regulators, courts or law-enforcement bodies where required by law.
- A buyer or successor in the event of a sale, merger or restructuring of our business.
We do not sell personal data.
6. International transfers
We operate delivery and support teams outside the UK (including in the EU, India, the Philippines, Ukraine, Morocco and the UAE) and some of our providers host data outside the UK. Where personal data leaves the UK we rely on: a UK adequacy regulation for the destination (e.g. the EEA); the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses; or, for the USA, the UK Extension to the EU-US Data Privacy Framework where the recipient is certified. You can request a copy of the relevant safeguard by contacting us.
7. How long we keep it
- Enquiries that do not lead to a contract: 12 months from last contact.
- Client contract, ticket and invoice records: for the life of the contract plus 6 years (limitation period and HMRC requirements).
- Placement applications: 6 months after the decision unless you ask us to keep your details on file.
- Marketing consent: until you withdraw it, with a review every 2 years.
- Server logs: 90 days.
After these periods data is securely deleted or anonymised.
8. Security
We use HTTPS across the site, access controls and least-privilege permissions, encrypted storage with our cloud providers, multi-factor authentication on administrative systems and regular backups. Our staff are trained in data protection. No internet transmission is completely secure, so we cannot guarantee absolute security, but we will notify you and the ICO of any breach where the law requires it.
9. Your rights
Under UK GDPR you have the right to: access your personal data; have inaccurate data rectified; have data erased in certain circumstances; restrict or object to processing (including objecting to direct marketing at any time); data portability; and to withdraw consent where consent is the lawful basis. To exercise a right email support@ssanetwork.co.uk. We respond within one month (extendable by two months for complex requests) and do not normally charge a fee. We may ask you to verify your identity.
10. Cookies
See our Cookie Policy for details of the cookies we use and how to control them.
11. Children
Our services are for businesses. We do not knowingly collect personal data from anyone under 18. Placement applicants must be 18 or over unless an application is made through a school or college programme with appropriate consent.
